Fields on an expense, and what each one is for
A field-by-field reference for the expense form, including the optional ones most people never touch.
Required on every expense
Policy — the expense policy that governs this spend. It decides the limits, whether a receipt is required, and which categories are allowed.
Category — the kind of spend. Must be a category your chosen policy covers.
Amount — the amount you paid, above zero.
Date — the date of the spend.
Description — why the money was spent.
Usually required, depending on your organisation
Vendor — who was paid.
Receipt number — the bill or invoice number.
Currency — defaults to your organisation's currency.
Foreign currency
When you pay in a currency other than your organisation's, Chronon stores both sides: the foreign amount and currency, and the amount in your organisation's currency. It fetches a conversion rate, and you can override it with the rate your card or bank actually used. Enter the rate you were charged, not the mid-market rate, if you want the claim to match your statement.
Optional
Advance Account — link the expense to a cash advance you are drawing down.
Custom fields — your organisation may add its own, such as Cost Center, Expense Head, Campaign Code, or Hospital Name. These come from your admin's configuration and are often required even though Chronon does not ship them by default.

Sequence number — Chronon's own readable reference for the expense.
Status — see Expense statuses explained.
Payment method — personal or corporate, set by whether the expense is linked to a card transaction.
The Policy and Category pair is the one combination Chronon validates strictly. Everything else it will save and let an approver argue with.
